Reception and Meeting Room Support

We are now looking for an organised, articulate individual to join our facilities team at our Manchester office where you will play a key role in providing reception, meeting room and office support for all business areas and functions, including senior management. 

What does the job involve?

  • Ensure reception desks are manned and operated at agreed times.
  • Issuing staff, contractors and visitors passes
  • Meet and greet all visitors and advise host of their arrival in a timely manner.
  • Act as first point of contact for all queries in an efficient and concise manner
  • Keep reception tidy and clear.
  • Maintain a log of all post and deliveries and ensure that all postal procedures are carried out efficiently.
  • Manage Guest and staff parking.
  • Ensure that any building or equipment maintenance defects are reported immediately through the correct channels.
  • To manage meeting room availability and deliver a seamless meeting room experience to all internal and external users
  • To complete regular housekeeping checks throughout the building liaising closely with the catering, IT, engineering, and property management teams and provide the service support required.
  • To set and re-set the events area and meeting rooms in a timely fashion.
  • To be the first point of contact for all room issues, providing a timely response and coordination of remedial work
  • To assist with the replenishment of beverages and food
  • To assist, as required, at special functions, some of which may occur outside normal working hours.

Competence, Knowledge and Skills:

  • Excellent communication skills, both written and verbal
  • Competent IT skills including Word, Excel, and Outlook
  • Excellent planning and organisational skills
  • Demonstrate a friendly and approachable manner
  • To be able to converse confidently and articulately with colleagues, clients, and professional connections on all levels.
  • Ability to work to deadlines and under pressure, at times unsupervised
  • Be flexible and cooperative with a can-do attitude towards what is a varied job role
  • Be diligent and with attention to detail
  • Be able to work well under pressure and multi-task
  • Have the ability to use own initiative and problem-solving skills

This role is 37.5 hours per week, Monday to Friday in a rotational shift pattern covering opening times 07:45 till 18:00.
